This is an essential role within the Enrolment Department and provides high-level administrative support to the team throughout the JK-Grade 11 admissions cycle. This position runs from September 1, 2026 to February 26, 2027. The role follows a full-time schedule, with working hours from Monday to Friday, 8:00 AM to 4:00 PM.  This is a 6-month contract position with total compensation of $22,000, along with a monthly stipend of $200 in lieu of benefits. You will also be eligible to access our Employee and Family Assistance Plan.ResponsibilitiesProvides support across our two campuses related to JK-Grade 11 Admissions and Enrolment.Acts as the first point of contact for the Enrolment Office, responding to initial phone and email inquiries from prospective families with professionalism and clarity.Schedules campus visits, manages automated e-reminders, and assists with timely follow-up communications.Greets prospective families during campus visits and events, maintaining polished and welcoming professional conversation to provide a positive first impression of the School community.Handles sensitive and confidential applicant documents with high discretion, ensuring all records are organized and stored in strict accordance with School policy and BCMOE compliance standards.Assists in on-site execution of major Admissions events, including New Student Day, Open Houses, tours, interviews and assessment sessions.Coordinates "behind-the-scenes" logistics for meetings and events, including the organization of materials, catering, and venue setup.Liaises with internal departments to ensure all event requirements are met.Supports the Enrolment team by preparing and organizing necessary documentation and candidate files.Maintains high standards of data accuracy for all applicant records, ensuring compliance with BC Ministry of Education (BCMOE) requirements.Tracks and organizes Admissions statistics related to inquiry trends.Supports the Admissions Ambassador program by helping coordinate student and parent volunteers for tours and School events.Tracks office inventory, including stocking, organizing and replenishment of recruitment supplies.This role requires occasional flexibility to support the School community during evening and Saturday events.Required qualificationsAbility to maintain a polished, welcoming, and professional demeanor when engaging with prospective families, faculty, and studentsProficiency in drafting clear, professional emails and handling high volume phone inquiries with courtesy and accuracy.Comfort working with a diverse community of local and international families, demonstrating empathy and a service-oriented mindset.Proven ability to manage multiple administrative tasks simultaneously, with a high degree of attention to detail and accuracy.Ability to handle sensitive and confidential student records with total discretion and an understanding of privacy standards (BCMOE requirements).Experience using Google Docs, Excel, Calendar management software and a quick ability to learn school specific CRM or database software (Veracross).Willingness to provide "hands-on" logistical support, including setting up materials, coordinating catering, and assisting with the smooth flow of large-scale events.A proactive team player who is comfortable liaising across different departments (Maintenance, Communications, Events) to achieve shared goals.Ability to remain calm and responsive in a fast-paced environment, particularly during "peak" admissions seasons.Flexibility to work occasional evenings or Saturdays to support key events like Open Houses or Assessment Days.Currently enrolled in a recognized post-secondary program (Business Administration, Communications, Social Sciences, or Education preferred).Successful completion of a Criminal Record Check (vulnerable sector) is mandatory for working in a school environment.Canadian residency and legally entitled to work in CanadaOur “Must Haves”Respect, dignity and inclusion for all members of the communityCollaborative mind-set and courageous approach to adversityDemonstrated communications skills (oral and written)Creative “out-of-the-box” thinkerFlexible and adaptable and embraces changeProven work ethic with utmost integrityEnthusiasm, eagerness and genuine interest in all aspects of the school’s successSelf-awareness, with a desire for constant self improvement (goal-oriented)
